Organization of the Role-Based Access System in commercial bank

Employees require access to various information systems for the functioning of organization. In this report we describe the «Role-Based Access» system which allows you to automatically allow\disallow employee to use various information subsystems in large organization, centralizing storage of its information. The system was developed on IBM Lotus Notes platform and is fully integrated with the Lotus Notes mail system.

The system performs the following functions:

  • most automated filling of the documents form on a uniform standard, process of filling is carried out through the dialog boxes and is intuitively clear
  • possibility to send document for approval in electronic form
  • mailing of letters notices on personal mail boxes of the employees considering the document
  • use of facsimile signatures which is unloaded document to print, similar to signatures on paper
  • maintaining “work with the document” protocol for tracking actions users made with documents
  • possibility to use digital signatures

Usually «Applications for access» are applications to access granted or denied to information resources of the organization. On each employee the set of resources of the organization is available to create. Architecturally the system includes reference manuals of types of applications and the applications. Reference manuals of applications can be grouped by type or by branches, to which they relate. All employees have the right to view the reference manual, however the manager of basis creates the reference manual.

For each type of application there is a cycle of its agreement (signed). This cycle is set on the reference manuals and automatically generated in the future when the type of application is selecting.

«Applications for access» subsystem allows the employee quickly and effectively to issue the application for access to necessary resources of the organization. «Applications for role access» subsystem is a further development of applications for access and is used when the system of access rights to resources is well structured for each employee.

The functionality of these data base allows to employees to provide quickly access to organization resources. The system implementation «Role access» allows the organization to control effectively the rights of employees to different information systems of the organization, to reduce temporal and material expenses, to simplify and accelerate processes of documents creation and coordination.
